How to Reduce a Photo’s File Size for a Government Portal Upload

Government portals, online banking, visa applications, and document upload forms often set a strict file size limit — for example, "no more than 1 MB" or "photo under 300 KB." A photo straight from a phone can easily weigh 5–10 MB. Let's look at how to quickly shrink a photo and fit within the requirements.

What determines a photo's file size

An image's file size comes down to two things:

• Resolution — how many pixels wide and tall. Modern phones shoot at 4000×3000 or more, which is far more than a document upload needs.
• Compression quality — how much the JPG is "squeezed." Lowering the quality slightly can shrink the file several times over with no noticeable loss to the eye.

The easiest way to reduce file size is to work with both parameters at once.

Method 1: Lower the resolution

If the photo is too large, first reduce its pixel dimensions with the image resize tool. For a document, having the longer side at around 1500–2000 pixels is usually enough — the text stays readable while the file size drops several times over.

Method 2: Compress with lower quality

Open the image converter, enable the compression option, and adjust the quality slider. A quality level of 70–80% is nearly indistinguishable from the original to the eye but gives a noticeable saving. Save as JPG — it's lighter than PNG for photos.

How to hit a specific limit (for example, under 1 MB)

1. First reduce the resolution to roughly 1500–2000 px on the longer side.
2. Then compress with a quality of 70–80%.
3. Check the resulting file size. If it's still too large, lower the quality to 60% or reduce the resolution further.

Sometimes a document needs to be uploaded specifically as a PDF, and that file exceeds the limit too. In that case, use compress PDF — it reduces file size by optimizing the images embedded inside the file.
